Your profile includes several name fields. The Firstname, Middleinitial, and Lastname fields represent your legal name. To specify a preferred, or academic, name use the preferred_name field.
We use your preferred name (if set) in every public place, e.g. RocketChat, GatherTown and Topia. At a virtual conference, as long as you have an preferred_name set, your legal name should not appear publicly.
If your public/preferred name is the same as your legal name, leave preferred_name blank and your legal name will be used everywhere.
At a physical conference, we use your legal name as follows:
- In our hotel audits. The hotel audit is done without giving any data to the hotel; we meet with hotels to verbally cross reference their guest list with our registration list, but neither side retains data.
- At the registration desk during checkin, our volunteers can see both legal and academic names so they can check in someone regardless of which name appears on their ID.
- In the invitation letter. When generating the invitation letter, your name defaults to your legal name (firstname, lastname). Howeer, as you generate your letter of invitation, there is a field to use a custom name. If a custom name is specified, then your legal name will be replaced with the custom name.
