A conference may choose to enable a feature of the website where authors can change the Poster Session for a poster presentation. This is called Self Service Poster Session Selection.
The goal of this feature is to enable posters to be presented in situations where a presenter was not able to make their originally scheduled time. This may be due to travel plans, travel interruptions, illness, or having more than one poster in a single session. Please make an attempt to keep your originally scheduled poster session as this allows the conference to balance the number of presentations and also allows for the possibility of grouping similar posters together in the poster session. However if you need to change your scheduled time you are welcome to do so using the Self Service Poster Session Selection.
If a conference enables this feature then it is available on the paper metadata from author page after the majority of posters have initially been assigned. Find your paper, click on the metadata link and then open the form by clicking on "Change Poster Session". Select the desired Poster Session from the drop down list and then click the blue "Update Poster Session" button. If your session is successfully changed a notification message will then be displayed at the top of the page.
It's recommended that to change your poster session you have a physical conference registration and have set your timezone to the conference timezone. If either of these is not true then you must mark a checkbox acknowledging this before changing your poster session. If you are setting your presentation to "No Poster Session" please also check any necessary checkboxes, even though the recommendation above may not apply to you.
Some conferences group the posters together by topic area. In such a conference changing your poster session after poster positions have been assigned will likely result in positioning your poster with other posters of dissimilar topics. However, you can still change your position and maybe you'll end next to a poster which opens a whole new door!
One of the options in the Poster Session drop down list is "No Poster Session". Set this if you are unable to attend any poster session. Setting this does free up your assigned spot plus makes your poster event page more accurate in that it won't show an inaccuate poster time and location. Simply check any acknowledgement checkboxes about registration and timezone before hitting the blue "Update Poster Session" button. Even if your paper is listed as "No Poster Session" that does not change its status as an accepted paper and it will still be published in accordance with the conference publication rules.
Even if a conference enables this feature it may not be available until after the majority of the poster events have been assigned to a poster session, in which case a message will be displayed to "Check Back Later." You may still be able to change your poster session at a later date.
